Welcome to The Bharat Music Experience 2026 ("BME 2026," "Event," "we," "us," or "our"). These Terms and Conditions ("Terms") govern your participation in BME 2026, including registration, ticket purchase, exhibitor booth booking, sponsorship, award nominations, and attendance at the event.
Important Notice
By registering for, purchasing tickets to, or participating in The Bharat Music Experience 2026, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree with these terms, please do not register or attend the event.
1. Event Information
1.1 Event Details

- Duration: 3 Days in May 2026

1.2 Event Components
BME 2026 comprises the following activities across three days:
- B2B Exhibition: Industry expo with exhibitor booths showcasing products, services, and innovations
- Awards Ceremony: Bharat Music Awards celebrating excellence in 80 B2B and 20 B2C categories
- Live Performances: Musical performances by established and emerging artists
- Networking Events: Structured networking opportunities for industry professionals
- Workshops & Masterclasses: Educational sessions on music industry topics
- Panel Discussions: Industry insights and thought leadership sessions
2. Registration & Tickets
2.1 Registration Types
The following registration types are available:
- Visitor Pass: General admission to expo, performances, and networking events
- Exhibitor: Booth space and exhibitor benefits
- Sponsor: Sponsorship packages with brand visibility
- Artist: Performance opportunities and award nominations
2.2 Registration Process
- Registration must be completed online through the official BME 2026 website
- All information provided must be accurate and complete
- Registration is subject to availability and approval by the organizers
- We reserve the right to reject any registration without providing reasons
2.3 Payment Terms
- Visitor Pass: Payment must be completed within 48 hours of registration to secure your seat
- Exhibitor Bookings: Payment must be completed within 48 hours of package confirmation to reserve booth space
- Award Nominations: Payment must be completed within 48 hours of submission to confirm entry
- Sponsorships: Payment terms as agreed in the sponsorship agreement
- All payments are in Indian Rupees (INR)
- Payment can be made via secure online payment methods provided during checkout
2.4 Ticket Validity
- Tickets and passes are valid only for the dates and sessions specified
- Tickets are non-transferable unless explicitly stated otherwise
- Lost, stolen, or damaged tickets will not be replaced
- Attendees must present valid identification along with their ticket/pass for entry
3. Cancellation & Refund Policy
3.1 Event Cancellation by Organizers
- If BME 2026 is cancelled by the organizers, registered attendees will receive a full refund
- Refunds will be processed within 30 business days of cancellation announcement
- The organizers are not liable for any additional costs incurred by attendees (travel, accommodation, etc.)
3.2 Event Postponement or Rescheduling
- In case of postponement or date change, existing registrations will automatically transfer to the new dates
- Attendees who cannot attend the rescheduled event may request a refund within 14 days of the announcement
- Refund amount will be 80% of the ticket price (20% administrative fee)
3.3 Cancellation by Attendees - NO CANCELLATION POLICY
Important: No Cancellation or Refunds
All registrations, bookings, and payments are final and non-refundable. Once payment is completed, no cancellations will be accepted from attendees under any circumstances.
Visitor Pass:
- NO CANCELLATIONS - All visitor pass purchases are final and non-refundable
- No refunds will be issued for any reason, including personal circumstances, travel issues, or inability to attend
- Passes are non-transferable to another person or future events
Exhibitor Bookings:
- NO CANCELLATIONS - All exhibitor booth bookings are final and non-refundable
- Once payment is completed, booth booking is confirmed and cannot be cancelled
- No refunds will be issued regardless of when cancellation request is made
- Booth space cannot be transferred to another company or future events
Award Nominations:
- NO CANCELLATIONS - Award nomination fees are completely non-refundable once submitted
- Nominations cannot be withdrawn after payment is completed
- No refunds for any reason, including disqualification or withdrawal from judging process
Sponsorships:
- NO CANCELLATIONS - Sponsorship commitments are binding and non-refundable
- Cancellation terms as specified in the sponsorship agreement (typically non-refundable)
- Sponsors are obligated to fulfill payment and contractual commitments
Why No Cancellations?
- Event planning, logistics, and vendor commitments are made based on confirmed registrations
- Cancellations create operational and financial challenges for the organizers
- All attendees are expected to honor their commitments to ensure event success
- Please register only if you are fully committed to attending
4. Event-Specific Terms (3-Day Activities)
4.1 Day 1: B2B Exhibition & Networking
- Exhibitor Setup: Exhibitors must complete booth setup by specified time on Day 0 or early morning Day 1
- Booth Rules: Exhibitors must comply with booth design guidelines and safety regulations
- Operating Hours: Exhibition floor operates during specified hours; early closure is prohibited
- Product Demos: Live demonstrations must not exceed safe noise levels or cause disruption
- Sales Activities: Direct sales at booths are permitted; payment collection is the exhibitor's responsibility
- Networking Sessions: Attendees must wear ID badges at all networking events
4.2 Day 2: Workshops, Masterclasses & Panel Discussions
- Session Registration: Some workshops may require pre-registration; capacity is limited
- Attendance: Punctuality is required; late entry may not be permitted
- Materials: Workshop materials are provided digitally; attendees must bring their own devices
- Recording: Recording sessions is permitted only with explicit permission from speakers
- Q&A Sessions: Questions must be respectful and relevant to the topic
- Certificates: Participation certificates issued only to attendees who complete full sessions
4.3 Day 3: Awards Ceremony & Live Performances
- Dress Code: Formal attire required for awards ceremony
- Entry Time: Attendees must arrive 30 minutes before ceremony start time
- Seating: Seating is assigned based on registration category and cannot be changed without permission
- Award Acceptance: Winners or authorized representatives must be present to accept awards
- Photography/Videography: Professional photography only; attendees may not use flash photography during performances
- Performance Duration: Artist performances are subject to change; schedule may be adjusted by organizers
- Recording: Unauthorized recording of performances is strictly prohibited
5. Exhibitor Terms & Conditions
5.1 Booth Allocation
- Booth locations are assigned by organizers based on package tier and availability
- Special location requests are accommodated on a best-effort basis
- Organizers reserve the right to relocate booths for operational or safety reasons
5.2 Booth Setup & Teardown
- Setup allowed only during designated setup period (Day 0 or early Day 1)
- All structures must comply with safety regulations and venue guidelines
- Teardown must be completed within 4 hours after event closure
- Failure to complete teardown on time may result in additional charges
5.3 Booth Operation
- Booths must be staffed during all exhibition hours
- Exhibitors are responsible for booth security and property
- Selling counterfeit or illegal products is strictly prohibited
- Exhibitors must maintain professional conduct at all times
5.4 Liability
- Exhibitors are responsible for their own booth contents, property, and equipment
- Organizers are not liable for theft, loss, or damage to exhibitor property
- Exhibitors must have adequate insurance coverage for their participation
6. Award Nomination Terms
6.1 Eligibility
- Nominees must meet category-specific eligibility criteria
- Work submitted must have been released/completed within the eligibility period
- Self-nominations and third-party nominations are both accepted
- Nominees must provide accurate information and supporting materials
6.2 Judging Process
- Nominations are reviewed by an independent jury of industry experts
- Judging criteria and weightage are determined by the organizers
- Some categories may include public voting component
- Jury decisions are final and binding
- Organizers reserve the right to disqualify entries that do not meet standards
6.3 Supporting Materials
- Nominees must provide all required supporting materials (portfolio, streaming links, documentation)
- Materials become property of BME 2026 for promotional and archival purposes
- Organizers may use submitted materials in marketing and publications
6.4 Winner Obligations
- Winners must be present at the awards ceremony or send an authorized representative
- Winners may be required to participate in media interviews and promotional activities
- Awards are non-transferable and cannot be exchanged for cash
7. Code of Conduct
7.1 Expected Behavior
All attendees, exhibitors, sponsors, artists, and staff must:
- Treat all participants with respect and courtesy
- Comply with venue rules and regulations
- Follow instructions from event staff and security personnel
- Maintain professional standards in all interactions
- Respect intellectual property rights of others
7.2 Prohibited Conduct
The following behaviors are strictly prohibited:
- Harassment, discrimination, or abusive behavior of any kind
- Violence, threats, or intimidation
- Theft, vandalism, or destruction of property
- Unauthorized recording, photography, or live streaming
- Distribution of promotional materials without authorization
- Alcohol consumption except in designated areas
- Use of illegal substances
- Disruptive or unsafe behavior
7.3 Consequences
- Violation of code of conduct may result in removal from the event without refund
- Serious violations may be reported to law enforcement
- Future participation in BME events may be prohibited
8. Health & Safety
8.1 Attendee Responsibilities
- Attendees must comply with all health and safety guidelines
- Follow venue emergency procedures and evacuation instructions
- Report any safety concerns or incidents to event staff immediately
- Attendees participate at their own risk
8.2 Medical Emergencies
- First aid services will be available on-site
- Attendees are responsible for their own medical expenses
- Attendees with medical conditions should carry necessary medications
8.3 COVID-19 and Health Protocols
- Event may require compliance with prevailing health regulations at the time of event
- Additional health screening or vaccination requirements may be implemented
- Changes to health protocols will be communicated in advance
9. Intellectual Property
9.1 Event Content
- All event content, including presentations, recordings, and materials, are protected by copyright
- Unauthorized reproduction, distribution, or commercial use is prohibited
- Attendees may not use BME 2026 branding without written permission
9.2 Photography & Videography
- Official event photographers and videographers will capture content throughout the event
- By attending, you consent to being photographed/recorded for promotional purposes
- You grant BME 2026 perpetual rights to use images/videos featuring you
- If you do not wish to be photographed, please notify event staff
10. Liability & Indemnification
10.1 Limitation of Liability
To the maximum extent permitted by law:
- BME 2026 and Gatsvy Media are not liable for any personal injury, property damage, or loss incurred during the event
- We are not responsible for any indirect, incidental, or consequential damages
- Our total liability shall not exceed the amount paid for registration/ticket
10.2 Indemnification
You agree to indemnify and hold harmless BME 2026, Gatsvy Media, and their affiliates from any claims, damages, or expenses arising from:
- Your violation of these Terms and Conditions
- Your violation of any third-party rights
- Your conduct at the event
10.3 Insurance
- Attendees are encouraged to obtain travel and health insurance
- Exhibitors must have adequate business and liability insurance
11. Force Majeure
BME 2026 shall not be liable for failure to perform obligations due to circumstances beyond our reasonable control, including but not limited to:
- Natural disasters (earthquakes, floods, storms, etc.)
- Pandemics, epidemics, or public health emergencies
- Acts of terrorism or war
- Government restrictions or regulations
- Venue unavailability or damage
- Labor disputes or strikes
- Technical failures or power outages
In such cases, organizers may cancel, postpone, or modify the event without liability for consequential damages.
12. Privacy & Data Protection
Your personal information is collected, used, and protected in accordance with our Privacy Policy. By registering, you consent to our data practices as outlined in the Privacy Policy.
13. Changes to Terms & Event Details
- We reserve the right to modify these Terms and Conditions at any time
- Changes will be posted on our website with the updated "Last Updated" date
- Event schedule, lineup, and activities are subject to change without prior notice
- We will make reasonable efforts to notify registered attendees of significant changes
14. Governing Law & Dispute Resolution
14.1 Governing Law
These Terms and Conditions are governed by the laws of India. Any disputes arising from or related to the event or these terms shall be subject to the exclusive jurisdiction of courts in India.
14.2 Dispute Resolution
- In case of disputes, parties agree to first attempt resolution through good-faith negotiation
- If negotiation fails, disputes will be resolved through arbitration in accordance with Indian arbitration laws
- Arbitration shall take place in India, and proceedings shall be in English
